Donor Privacy Policy

Policy

Boost Child & Youth Advocacy Centre (Boost CYAC) is committed to protecting the privacy and confidentiality of our donors. We value our donors’ trust and recognize that maintaining this trust requires that we be open and accountable in our treatment of the personal information that donors choose to share with us. We do not trade, rent or sell the names of our valued supporters.

This Donor Privacy Policy outlines the types of personal information we collect from donors, how we use it, and how we protect it. We ensure that all donations are processed in compliance with applicable laws, including privacy legislation in Ontario.

Principles

  1. Accountable for donor’s personal information.

Boost CYAC recognizes our donors’ right to privacy and pledges to protect it.  We are aware of our responsibilities under the Federal Personal Information and Electronics Act (PIPEDA). We maintain the personal information that donors provide us with strict confidence.

Boost CYAC employees sign confidentiality agreements and safeguards are in place to ensure that the information is not accessed, disclosed or shared more widely than is necessary to achieve the purpose for which it was gathered. We also take measures to ensure the integrity of this information is maintained and to prevent it being lost or destroyed. Individuals may access their personal information at any time to ensure that it is correct and current.

  1. Information We Collect

We collect personal information that donors provide to us voluntarily when making a donation.

Personal Information” is any information that can be used to distinguish, identify or contact a specific individual. Business contact information and publicly available information, such as names, addresses and telephone numbers that are published publicly are not considered personal information.

Personal information that Boost CYAC collects may include:

  • Name
  • Address
  • Email address
  • Telephone number
  • Payment information (credit card or other payment methods)
  • Donation history
  • Donation amounts, the purpose of the donation, and any special instructions provided (e.g., in honor of someone, specific project).
  1. How We Use Your Information

The personal information Boost CYAC collects from donors will be used for the following purposes:

  • Processing and acknowledging donation.
  • Sending tax receipts and other donation-related communications.
  • Providing updates on how donations are being used.
  • Informing donors about future fundraising initiatives, campaigns, and events.
  • Responding to donor inquiries or requests.
  • Complying with legal requirements related to charitable donations and tax regulations.

Boost CYAC will not use donor’s personal information for any purposes other than those stated above unless with prior consent from donor. Donors may limit or opt-out of future contact by opting-out of email communication or contacting Boost CYAC at info@boostforkids.org.

  1. Security of Donor Information

Boost CYAC takes reasonable precautions to ensure the security of donor’s personal information. All information is kept private and confidential, stored in a secure location and accessible only by authorized staff. All financial transactions are processed through secure payment gateways, and we use encryption technology to safeguard sensitive data.

Boost CYAC uses commercial database systems that provide appropriate data storage, security and encryption technology to ensure the integrity and privacy of the personal and credit card information provided when making an online donation.

While Boost CYAC take appropriate security measures to protect donor information, no method of electronic transmission or storage is 100% secure. Boost CAYC cannot guarantee the absolute security of donor data.

  1. Sharing Your Information

Boost CYAC does not sell, trade, or otherwise share donor personal information with third parties for commercial purposes. However, Boost CYAC may share donor information in the following circumstances:

  • Service Providers: We may share donor personal information with trusted third-party service providers who assist in processing donations, sending receipts, and managing communications on Boost CYAC’s behalf. These providers are required to protect donor information and use it only for the purposes for which it was shared.
  • Legal Requirements: We may disclose donor information if required to do so by law, regulation, or legal process (e.g., a court order).
  1. Donor Rights and Consent

Donors have the right to:

  • Access the personal information Boost CYAC holds about them
  • Request corrections to any inaccuracies in the information Boost CYAC holds about them
  • Choose their preferred method of communication
  • Choose to remain anonymous
  • Opt-out of receiving marketing communications at any time
  • Withdrawing their consent to the collection and use of their personal information, subject to legal and contractual restrictions.
  1. Tax Receipts and Acknowledgments

For donations eligible for a tax receipt, Boost CYAC will issue a receipt in compliance with the requirements of the Canada Revenue Agency (CRA) and Ontario’s charitable regulations.  Tax receipts are issued by the end of February following the tax year of the donation.

Donor names and donation details may also be acknowledged in Boost CYAC reports or on our website unless donor’s request to remain anonymous.

  1. Retention of Your Information

Boost CYAC will retain donor personal information for as long as necessary to fulfill the purposes outlined in this policy, including for legal, accounting, or reporting purposes. Once donor information is no longer required, it will be securely deleted or anonymized.

  1. Posting and Changes to This Privacy Policy

We make our practices relating to the management of Personal Information available to donors by posting Boost CYAC’s Donor Privacy Policy on our website. Donors may request a print version this policy by contacting info@boostforkids.org

Boost CYAC will update this Donor Privacy Policy to reflect changes to internal practices, legal obligations, or organizational needs. We will notify donors of any material changes by posting an updated version on our website.

  1. Complaint Process

Boost CYAC will investigate all complaints. If a complaint identifies a gap in compliance, Boost CYAC will take appropriate steps to remedy the situation, including changing our policies and practices if necessary.
